Project Coordinator

Position Summary:

The Project Coordinator will have an integral role within the Generation STEAM team (see more about Generation STEAM below). The individual must have project management and administrative support skills along with knowledge of administrative procedures and processes. This position will play a role in shaping new program initiatives that are mission driven and will have the opportunity to be a part of a collaborative process to grow the brand of Generation STEAM. Must have a passion for STEAM education and community service.

Key Duties & Responsibilities:

  • Provide administrative support for multiple programs and events at one time, with varying lead times and deadlines, competing requirements, and complexity levels
  • Provide administrative support for events and programs (virtual and in-person) including but not limited to, sponsor and partner communications, collection of assets, benefits tracking, liaison to speakers, AV, program, and signage
  • Act as registrar for events and programs, including but not limited to, managing registration lists, managing on-site events, reminder emails, surveys, ensuring inventory of registration materials and acting as the main point of contact for any registration inquiries pre- and post-event
  • Work closely with internal marketing team and Generation STEAM team members to develop and deliver social media campaigns, while tracking outcomes and benefits for sponsors and partners
  • Work closely with the marketing department and Generation STEAM team members to ensure all event/program marketing materials are being created and executed in a timely manner
  • Provide support for meetings, including, but not limited to organization, meeting set-up and clean-up, meals, and preparation and distribution of information
  • Undertaking new assignments as necessary, as it relates to Generation STEAM on-going events and programs

Minimum Qualifications:

  • High School Diploma. Bachelor’s Degree preferred.
  • 2+ years experience in project management, administrative support, or a similar discipline
  • 1+ years experience managing social media content across a variation of platforms
  • Must be bi-lingual in Spanish and English
  • Event experience a plus
  • Excellent demonstrated PC-computer skills and well versed with a variety of software packages for word processing (MS Office), spreadsheets and database management
  • Strong knowledge and working experience of digital event/program platforms and web conferencing options preferred
  • Excellent interpersonal and communication skills.
  • Knowledge of Salesforce, Canva and Constant Contact a plus
  • Demonstrated ability to show initiative and to be a self-motivated, innovative, and independent thinker. Ability to be resourceful on independent projects
  • Must have excellent follow-up and follow-through skills
  • Detail oriented, highly organized, team player who thrives in a fast paced, multi-tasking environment
  • Excellent interpersonal skills across a range of contacts including high-level executives, board members, elected officials and staff, members, vendors, staff, and volunteers. Includes effectively employing tact, integrity, confidentiality, diplomacy, and flexibility
  • Exceptional communication and interpersonal skills
  • Candidate must reside within San Diego County
