Project Coordinator

Reports To: Development Manager

This position will be an integral member of Biocom Institute’s program department. This position requires an individual who shows initiative, exercises independent judgment, possesses strong organizational and analytical skills, an ability to multi-task, work within a team, and demonstrate exceptional communication and interpersonal skills. The individual must have project management and administrative support skills along with knowledge of administrative procedures and processes. The individual must also possess a demonstrated background supporting management and staff, and comfort interfacing with various levels of audiences- including, but no limited to, board members, elected officials, and the public. The Project Coordinator will be intimately involved in many of the key projects under the purview of Biocom Institute and must be able to manage sensitive business information in a professional and trustworthy manner. Must have a passion for the Life Sciences and community service.

Key Duties & Responsibilities:

  • Coordinate scheduling and tracking of lab equipment for teacher training programs
  • Manage operations, including scheduling and hosting virtual meetings, webinars, and other remote learning platforms
  • Provide support with pre, day of, and post- program logistics
  • Provide administrative support and project coordination for Biocom Institute’s portfolio of programming
  • Plan and coordinate related on-site and off-site meetings, events, and trainings involving multiple external participants- including volunteer coordination, communication, and training
  • Provide support for meetings, including, but not limited to organization, equipment testing, meeting set-up and clean-up, meals, and preparation and distribution of information
  • Prepare edits, proofreads, and process a variety of routine- to -complex documents and marketing materials for internal and external stakeholders
  • Support development and fundraising via appeals, event/program collateral, occasional research, donor recognition, and other relevant organization pieces
  • Generate, edit, publish, and share social media content in support of development
  • Assist with program surveys and program data collection/analysis


  • Associates Degree required; Bachelor’s degree preferred
  • Minimum 2 years’ experience in project management, administrative support, or a similar discipline
  • An ability to respond quickly to time sensitive tasks, and proactively handle challenging situations. Works with a strong sense of personal accountability and urgency
  • Ability to make decisions, prioritize workload, and multi-task while maintaining high attention to detail. Drives responsibilities through to their completion, removing impediments and with maximum efficiency
  • High level of discretion and confidentiality
  • Must have excellent follow-up and follow-through skills
  • Excellent interpersonal skills across a range of contacts including high-level executives, board members, elected officials and staff, members, vendors, staff, and volunteers. Includes effectively employing tact, integrity, confidentiality, diplomacy, and flexibility
  • Excellent demonstrated PC-computer skills and well versed with a variety of software packages for word processing (MS Office), spreadsheets and database management
  • Knowledge of Salesforce.com, as well as Salesforce products (Pardot) and report creation, as well as Project management software preferred
  • Exceptional communication and interpersonal skills.
