Virtual Events & Program Associate Manager, Generation STEAM (Temporary)

Reports to: Managing Director, Generation STEAM

This position is a full-time temporary role.  The position will be hired for approximately four months, with the possible opportunity to extend for two additional months.  The position is estimated to begin in January and run through May with an estimated end date of May 14th.  Primary planning months will be January, February and March with primary execution months to be April and May.  It will require driving, and the ability to go into an office for event related logistics as well as manage a few socially distanced resource pick-up events throughout the delivery of the Festival programming.  The Virtual Events & Program Manager is primarily responsible for leading program and events oversight, outreach and execution to ensure successful delivery of all 2021 San Diego Festival of Science & Engineering’s events and programs. This person will report directly to the Managing Director and will work closely with Biocom’s marketing department, along with many external community partners and sponsors. 

Key Duties & Responsibilities:

  • Provide logistical oversight and execution for all virtual events and programs: including but not limited to, sponsor and partner communications, collection of assets, benefits tracking, liaison to speakers, AV, program and signage
  • Act as lead registrar for all events and programs, including but not limited to, managing registration lists, managing on-site events, reminder emails, surveys, ensuring inventory of registration materials and acting as the main point of contact for any registration inquires pre and post event
  • Provide logistical support for multiple events at one time, with varying lead times, and prioritize deadlines, competing requirements and complexity levels
  • Work closely with internal marketing team and managing director to develop and deliver social media campaigns, while tracking outcomes and benefits for sponsors and partners
  • Work closely with the marketing department and managing director to ensure all event/program marketing materials are being created and executed in a timely manner in order to meet deadlines
  • Create and coordinate delivery of any event/program marketing email campaigns
  • Undertaking new assignments as necessary, as it relates to Generation STEAM on-going events and programs


  • Bachelor’s Degree or equivalent work experience  
  • 2+ years meeting and/or event planning experience
  • Strong knowledge and working experience of digital event/program platforms and web conferencing options preferred
  • Must be available to work occasional weekday mornings and evenings
  • Demonstrated ability to show initiative and to be a self-motivated, innovative, and independent thinker. Ability to be resourceful on independent projects
  • Must have excellent follow-up and follow-through skills
  • Working organizational skills, including skill in effectively coordinating and organizing multiple details
  • Detail oriented, highly organized, team player who thrives in a fast paced, multi-tasking environment
  • Excellent interpersonal skills across a range of contacts including high-level executives, speakers, members, vendors, staff, and volunteers
  • Knowledge of Salesforce, Canva and Constant Contact a plus

Working Conditions:
The employee will frequently sit; talk; use hands to touch, handle, feel or operate tools or controls; reach with hands and arms. The employee will occasionally walk and must occasionally lift and/or move objects up to 50 lbs.  The employee must be able to see closely and be able to adjust focus for use of the computer. The employee must be able to hear and speak in order to use phone equipment to direct calls and take messages.

Additional Physical Demands & Travel:
Throughout the duration of this position, employee may be required to work more than the normal 40 over per regular work week.  Must be available some evenings, early mornings and weekends as needed in relation to the event and program delivery schedule.  Employee will be asked to travel throughout the duration of this position to meetings, programs and events.  Both statewide and out of state travel may be asked upon at times. Additional physical demands leading up to Festival Week and delivery during and just following Festival Week may include long periods of standing, walking, talking as well as an increased manual labor such as lifting boxes, loading vehicles, site tear-downs, etc…
