Events & Sponsorship Coordinator

Position Summary:  

The Events & Sponsorship Coordinator will provide support to the Biocom California (BC) Corporate and Purchasing Group (PG) Events & Sponsorship department. This person will work closely with various stakeholders, including our Purchasing Group Portfolio partners, Members and Corporate Sponsors to ensure successful and well-executed events that align with the organization’s goals and objectives. This role requires strong organizational skills, attention to detail, effective communication, and the ability to build and maintain relationships with sponsors and partners.

Key Duties & Responsibilities:

  • Coordinate directly with our Supplier Partners for PG programs/events and act as liaison between corporate events team and PG team
  • Work with PG supplier partners to drive participate at all purchasing group events
  • Work with PG supplier partners to sponsor PG/BC events
  • Showcase options and encourage PG supplier partners to host customer appreciation events and happy hours to drive program enrollment
  • Manage corporate and purchasing group events postings in Salesforce
  • Act as lead registrar for all corporate events – pulling registration lists, running badges, managing on-site registration table ensuring inventory of registration materials and acting as the main point of contact for any registration inquiries pre-event.
  • Provide logistical support for events, including but not limited to, scheduling, ordering food, AV needs, and providing minutes post meeting when applicable.
  • Prospect new sales opportunities applying lead generation sales methodologies.
  • Research and gather information about targets and develop prospecting lists.
  • Document all activities and interactions in Salesforce.
  • Assist with sponsorship agreement execution; ensuring deliverables are met, sponsorship benefits are tracked, post event follow up.
  • Coordinate with accounting department on sponsorship invoices for both Corporate and PG events
  • Undertaking new assignments as necessary, as it relates to Biocom California & PG events and conferences. 

Minimum Qualifications:

  • Bachelor’s Degree required.
  • 3+ years of any sales and/or event planning experience.
  • Must be available to work occasional weekday mornings and evenings.
  • Must be available to travel to Los Angeles
  • Demonstrated ability to show initiative and to be a self-motivated, innovative, and independent thinker. Ability to be resourceful on independent projects. 
  • Must have excellent follow-up and follow-through skills.
  • Detail oriented, highly organized, team player who thrives in a fact paced, multi-tasking environment.
  • Excellent interpersonal skills across a range of contacts including high-level executives, speakers, members, vendors, staff, and volunteers. Includes effectively employing tact, integrity, confidentiality, diplomacy and flexibility.
  • Excellent demonstrated PC-computer skills and well versed with a variety of software packages for word processing, spreadsheets and database management.  
  • Proficient knowledge of Salesforce.com is required. 

The anticipated hourly range for candidates who will work in the San Diego area is $24.03 – $28.85 per hour.  The final salary offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and length of experience within the job, type and length of experience within the industry, education etc.  Biocom California is a multi-state and multi-regional employer and this salary range may not reflect positions that work in other states and regions.
